AI agent for document management and instant personalized proposals in a services company

A services company handles hundreds of documents every day and receives a steady stream of inquiries through its website. People spent hours hunting for the right file and wrote every proposal by hand. We built an artificial intelligence solution that does this work on its own. Challenge

The client had a large and messy document library. Contracts, specifications, price lists and old inquiries lived in different places. When a question came in, the employee often did not know where to find the right answer. Searching by file name barely helped, because the answer was buried inside the document.

The second problem was website inquiries. A visitor described a need in free text. The team read it, looked for a similar case and wrote a proposal by hand. That took time, replies were late, and some inquiries got no quick response. The company lost customers who would not wait.

Solution

We built one connected AI solution with three parts that work together.

First, we organized and indexed all of the company documents. The system reads each file, splits it into meaningful sections and turns it into a semantic index. Content becomes findable by meaning, not by exact word match. A new document enters the index automatically, so the library needs no manual upkeep.

Second, we added a smart search module for customers on the website. A person asks in natural language, the way they would speak to an employee. The AI agent finds the relevant places in the documents, reads them and forms a precise answer from the company material itself. It attaches the source to every answer, so it is clear where the information came from. There are no made up facts, and the reply rests only on confirmed company information.

Third, we automated proposal generation. When a visitor fills in an inquiry on the website, the AI agent reads what the person wrote, recognizes the need and pulls the related data from the documents and price lists. From that it builds a personalized proposal with the right services, terms and clear content. The proposal is ready in seconds and goes to the team for approval. The employee reviews it, adjusts if needed and sends it. The solution keeps the person in control of the result while the machine takes over the dull manual work.

We tied all of this into a single workflow. The document index feeds both customer search and the proposal generator. When material is updated, both functions immediately work with the new information. We connected the solution to the company existing system, so the team did not have to change their usual tools.

Result

The company stopped losing time searching for documents. An employee gets an answer from the large library right away instead of after long browsing. Customers on the website find precise information themselves at any hour, so the support team receives fewer repeat questions.

Inquiries no longer sit without a response. A personalized proposal is ready the moment a person submits an inquiry. The team works from a finished draft, so the reply reaches the customer faster and reads more consistently. Proposals became uniform in quality, because they all draw on the same confirmed material.

Most important, automation did not remove control. People make the final decisions and artificial intelligence does the heavy preparation.
