Odoo for Training Providers: Automatic Trainer Selection by Competency and Certificate Validity Tracking
A training and services company uses Odoo to manage projects, trainers, and the skills each trainer holds. The team is small and works across several lines of business, which previously made it hard to track which person fit a given project based on qualifications or the certificates they held. We implemented a system that handles their real business data and supports their daily operations.
Challenge
Most training projects are won through tenders. Those tenders set strict requirements for trainer competency and supporting documents. Before our implementation, the company kept this information spread across separate spreadsheets and files. Picking the right trainer, checking whether a certificate was still valid, and confirming the person was even free on the day all took too long. The risk of error was high. They also needed a way to schedule sessions without timetable clashes and to keep participants informed automatically.
Solution
We built an Odoo system that holds everything in one place. Projects now carry clear competency requirements with defined levels instead of plain descriptions in a Word file. Each trainer has a profile with their skills, rates, availability, and every certificate they hold. The system watches document validity on its own. It uses color to flag a certificate when its expiry date is approaching or has already passed, so nothing slips through unnoticed.
The core of the work is automatic trainer selection. Odoo compares what a project needs against the skills each trainer has, calculates a match percentage, shows exactly what is missing, and factors in how busy the person already is. Within a few seconds, it becomes clear who fits the job. Scheduling is just as simple. The system will not let the same time slot be booked for two different jobs, and every confirmed hour shows up at once in the calendar. Trainers and participants receive reminders automatically.
Result
The client uses the system for their daily operations where projects, trainers, and certificates land neatly in one place. The automatic selection by competency and the control over validity dates work reliably in the production environment. The outcome speaks for itself, as the centralized system has replaced manual tracking and provides full control over their training projects and resources.
